What a group tour passenger list needs
- Name and phone: the name as on the ID, and a number that works on the road.
- Seat number: so boarding is quick and no seat is given twice. Need the seat layout too? Use the free bus seat plan maker.
- Pickup point: where each person gets on, so the driver knows every stop.
- Payment due: what is still owed, so the tour leader can collect before departure.
- Emergency contact: someone to call who is not on the trip.
Keeping it current on tour day
- Keep one master copy. Every change (seat swap, cancellation, late payment) goes into that copy first.
- Print a fresh copy the night before departure, not a week before.
- At each pickup point, tick names as people board and count heads before the coach leaves.
